Job Summary

The Operations Manager has a key role in the successful growth of Kurumbuka Leadership Solutions as we seek to develop and empower 10,000 African leaders by 2030.

As part of the North American team, the Operations Manager ensures smooth day-to-day operations, financial oversight, donor stewardship support, and event coordination. They will work closely with the Executive Director to support him in key administrative tasks and reporting against our strategic plan. 

The Operations Manager will be based in Canada and engage with our overall Global Team through annual trips, monthly international team meetings, and connecting with international team members when required.  


Key Areas of Accountability:

  • Support the Executive Director 

  • Operations and Finance

  • Donor Stewardship Support and Events Coordination

  • Human Resources Support

  • Short-Term Teams and Volunteers

Support the Executive Director

  • Support the Executive Director and International Leadership Team by creating and managing a shared organizational digital calendar.

  • Coordinate the Canadian Operations weekly team meeting and provide agendas based on weekly reports. 

  • Attend board meetings to take minutes as requested.

  • Help the Executive Director track progress on the strategic plan and annual plans.

Operations & Finance

  • Manage our digital platforms and accounts.

  • Manage our banking, wire transfers, invoices and reimbursements, and document donations and transactions.

  • Support the Board and Executive team in maintaining legal compliance with the Canadian Revenue Agency and other relevant government bodies.

  • Oversee all contracts with external service providers in North America.

  • Oversee our contracted accountant and work with our African finance team to ensure strong financial stewardship in areas such as banking, financial tracking, online reporting, and our annual audit process.

  • Assist the Executive Director in the annual budget process and help our accountant generate financial reports as needed.

Human Resources

  • Project manager for onboarding new hires.

  • Develop and implement operational systems for the Canada-based team.

  • Develop and implement Human Resource policies to support the Canada-based Team policies.

  • Manage staff health insurance accounts, ensuring they are up to date and running well. 

  • Oversee all Volunteers, student interns and Canada Summer Jobs employees.

Donor Stewardship Support and Events Coordination

  • Manage the Customer Relationship Management database, input all donations and track and report on giving retention rate. 

  • Coordinate and project manage annual fundraising events in North America. 

  • Coordinate special initiatives such as youth outreach trips, vision trips, and speaking opportunities when Rwandan staff are in Canada.

  • Oversee the annual tax receipts

  • Support the Donor Engagement Manager by tracking and reporting on donor data, automating thank you messages, and other administrative and project management support as needed.

  • Support the Marketing and Communications Manager through maintaining donors contacts and segmentation and provide administrative support as needed.

Qualifications

  • A mature Christian with an active faith in Jesus Christ.

  • A clear fit with our distinct organizational culture and leadership philosophy. 

  • 3 years of relevant operations experience with a clear track record of success in planning, logistics, and financial management. 

  • BA degree in a related field.

  • An organized and relational systems thinker with the ability to utilize online platforms, analyze data, and use emerging technology effectively to keep our Canadian office well-organized. 

  • Skills in project management, organizing events and volunteer coordination are a significant asset.

  • The candidate should have some level of international experience and a clear understanding of the African context.

Hours

This position is a full-time (40 hours per week) position.

Location

The Operations Manager will work remotely but will be strongly connected with the Canadian office in Langley, British Columbia and the Africa headquarters in Kigali, Rwanda. It is ideal for this person to be based in the Lower Mainland or Fraser Valley of British Columbia and be able to travel to Africa one or two times per year. They will report to the Executive Director.

Team: Kurumbuka Global Team; North American Team 

The Operations Director will stay connected to the Africa-based team through our online platforms and regular visits to coordinate teams and participate in all-team events or strategic planning sessions.
